1. Purpose
The purpose of this policy is to explain how the Shri Mewad Maheshwari Samaj (Surat) Community Portal application ("the App") collects, uses, shares, and protects data (including personal and sensitive personal data) belonging to its members and other users. The App is operated on behalf of Shri Mewad Maheshwari Samaj, Surat ("the Samaj", "we", "us", or "our") and is developed and maintained by Nesscale Solutions Private Limited as our technology service provider.
2. Scope
This Privacy Policy applies to all users of the App, including family heads, family members, committee members, and any other individuals whose information is added to or exchanged through the App. It governs information collected through the App and any related online or electronic services we provide.
3. Acceptance of this Policy
This Privacy Policy is an electronic record formed under the Information Technology Act, 2000, and the rules made thereunder, as amended from time to time. It does not require any physical, electronic, or digital signature.
We understand that you care about how your information is used and shared, and we appreciate your trust. By registering for an account, signing in, or otherwise using the App, you accept and consent to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use the App.
4. Information We Collect
We collect the following categories of information so that we can run a community directory, share community updates, and provide the App's features.
4.1 Information you provide to us
- Account and contact details: your mobile phone number (used as your login identifier) and your password.
- Profile and family information: your name, your family head/family member details, relationships within your family, date of birth, and an optional profile photograph.
- Community location: your state and district (for example, Gujarat / Anand) used to organise members, committees, events, and announcements.
- Community participation data: edit requests you submit, events or announcements you create or interact with (where you have a committee or admin role), and similar contributions.
- Preferences: privacy settings (such as "Hide Family Phone Numbers"), appearance/theme settings, and your willingness to donate blood.
4.2 Sensitive personal data
Your willingness to donate blood is health-related information and is treated as sensitive personal data. We collect it only when you choose to enable that option, and we use it solely to let other community members know you are available for blood donation. You may turn this setting off at any time.
4.3 Information collected automatically
When you use the App, we may automatically collect limited technical and usage information, such as your device type, operating system, app version, IP address, and in-app activity. We use this information on an aggregated basis to understand usage patterns, maintain security, fix problems, and improve the App.
4.4 Cookies and local storage
As a mobile application, the App may use local storage or similar technologies to keep you signed in and to remember your preferences (such as your selected theme). These help us provide a smoother experience. You can clear this data through your device settings, though some features may require you to sign in again.
5. How We Use Your Information
We use your information to:
- create and manage your account and verify your identity at sign-in;
- build and maintain the community member directory;
- display family, committee, and member information to the community as described in Section 6;
- share announcements, events, and birthday reminders relevant to your state and district;
- enable community features such as blood-donation availability and edit requests;
- operate, secure, troubleshoot, and improve the App;
- comply with applicable legal obligations.
6. Visibility of Information to Other Community Members
The App is a community directory. This means certain information you provide is visible to other registered members of the Samaj, not only to administrators. By default this may include your name, family details, profile photo, district, committee role (if any), birthday, and contact details such as phone numbers.
You can control some of this visibility through your privacy settings — for example, enabling "Hide Family Phone Numbers" prevents other users from seeing your family members' phone numbers in the directory. Please review your settings and only share information you are comfortable making visible to the wider community.
7. Disclosure and Sharing of Information
We do not sell your personal information. We may share it only in the following circumstances:
- Service providers: with Nesscale Solutions Private Limited and other trusted providers who host, maintain, or support the App on our behalf. They may access personal information only as needed to perform their functions and are not permitted to use it for any other purpose.
- Within the community: as described in Section 6 (directory visibility).
- Legal requirements: where disclosure is reasonably necessary to comply with applicable law, court orders, or legal processes, or to protect the rights, property, or safety of the Samaj, its members, or the public.
- Organisational changes: in connection with a reorganisation, transfer, or similar event affecting the operation of the App, in which case any recipient will be required to honour this Privacy Policy.
8. Security
We implement reasonable technical and organisational security measures designed to protect your personal information against unauthorised access, disclosure, alteration, or destruction, and we review these measures periodically. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Retention of Information
We retain your personal information for as long as your account is active or as needed to provide the App's services and to meet legal, accounting, or reporting requirements. When information is no longer needed, we take reasonable steps to delete or anonymise it. If you delete your account, we will remove or anonymise your personal information except where retention is required by law.
10. Your Rights and Choices
You have the right to:
- access and review the personal information held about you;
- correct or update your information, including through the App's edit-request feature;
- manage your visibility and preferences through your privacy settings;
- withdraw consent for optional data, such as turning off blood-donation availability;
- delete your account and data.
Account and data deletion
To delete your account and associated personal data, you can use the in-app option (if available) or contact us using the details in Section 13. We will process verified deletion requests within a reasonable period, subject to any legal retention obligations.
11. Children's Privacy
The App is intended for use by members of the community and is not directed at children under the age of 13 for independent registration. Where information about minors is included by a family head, it is provided and managed by the responsible adult family member. If you believe a child has provided us information without appropriate consent, please contact us so we can take appropriate action.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you within the App. Your continued use of the App after any change indicates your acceptance of the updated policy.
